Frequently asked questions

  • The move-in and key handover date is the start date of the lease. Keys cannot be obtained in advance.

    Two days before the start of your tenancy, you will receive an email with instructions on where and how to collect your keys, and any door codes you may need. Depending on the Boffice location, the keys will be picked up either from the Postitalio (Elielinaukio 2 F, 00100 Helsinki) or from the pick-up box at Boffice Central Railway Station location (Kaivokatu 10, 00100 Helsinki).

    Moving and receiving loads is done through the main doors of the building at all our locations. Please note that in some cases you may need to park your car on the footpath while unloading.

    Some locations also have a larger goods lift.

    In all locations, the supply cabinet has 2 sets of moving platforms with wheels to facilitate the transport of heavy furniture. Please remember to return the transfer trays to the supply cabinet after use.

  • Tenants have free access to their own office space. Access to the building's lower lobby and the office space on the Boffice floor is granted with a key, key fob or access code, which is typically given to tenants after payment of the security deposit.

    For access control reasons, if you need to wedge open a door to an apartment or street, for example when moving or for an event, please ensure that there is constant surveillance of the door. Please note that each tenant is responsible for their own visitors, the people they let in and their movements around the office and the building.

    If you have lost your key or access fob, please inform us immediately via MyOffice Message so that the key/fob can be cancelled.

    If the key or access code is lost or stolen, the Lessor must be informed immediately for possible follow-up measures. The Tenant retains general liability for any damages and costs arising from lost keys or access codes.

    The tenant agrees to replace any lost keys and hinge according to the amount charged by the locksmith and to pay 90 euros + VAT for the handling costs.

    If the key is not returned within 14 days, the key is presumed lost and Boffice starts the process to change the locks.

    If you need a new key or access fob, please place an order through the Additional Services.

  • Boffice will invoice the rent and any additional services on the 15th of the previous month. Please note that, depending on the date of the start of the tenancy or the date of the additional service, the billing period may be two calendar months.

    Invoices are sent as e-invoices or by e-mail. If sent by e-mail, the invoice will be sent to the address of the contact person unless otherwise indicated. Please notify us of any changes to your billing information via the MyOffice Messages function.

  • To ensure the comfort of the tenants and a neutral and calm look of the premises, Boffice limits the use of branded materials on the exterior of the room doors.

    Outside the room doors, there are Boffice-operated door signs with the name of the tenant printed on them.

    The use of your own logo, name or branding material is not permitted on the corridor-facing surface of the room door.

    Marketing materials must not be attached or left on room doors, corridors, floors or outside the room.

    Good places to showcase your brand include your own website and digital marketing, furnishing the inside of your office space with e.g. brand boards and/or colours, commissioning a roll-up or similar mobile element for events or meetings, and wearing clothing with your own brand identity.

  • The tenant may carry out alterations or improvements in his/her office room with Boffice's permission. No alterations or installations may be made in the public areas. Plans for alterations must be submitted for prior approval. Unless otherwise agreed, at the end of the lease, the Tenant shall restore the premises to their original state at his own expense. Permission for subsequent works must be requested via the MyOffice Messages function:

    - installation or replacement of floor materials
    - painting of a room
    - replacement of doors and/or locks
    - other renovation work

    You do not need to notify Boffice of any subsequent works or changes:

    - installation of paintings, posters, shelves or whiteboards, acoustic panels inside the room
    - installation of curtains and curtain rods inside the room

    The tenant is allowed to bring the furniture into his/her own rental space

  • The address must be in the correct format to ensure that the mail reaches its destination. Check the exact formatting here.

    Mail is delivered to the Boffice floor or to the tenant's mailbox in the lobby.

    Mail boxes are assigned a name at the start of the lease, according to the organisation or contact person indicated by the customer. Mail can be received in the name of up to three different organisations/individuals in a dedicated PO box. If there is a need to receive mail from more than three organisations/persons, a separate Virtual Address service must be ordered for 10€/month + VAT.
    If the tenant does not yet have a designated box or does not wish to have a box added to the lobby at all, please inform the Boffice team by sending a message.

    You can translate the new address of the post office from the beginning of the tenancy, but not in advance. Please remember to notify both the Post Office and the YTJ of your move.

    It is not possible to rent or bring a lockable mailbox to a Boffice floor mailbox. If you need a lockable box, we recommend you check out the Post Office's PO Box service

  • Car and bicycle parking spaces in the vicinity of the location are indicated here.

    Note! There are currently no charging points for electric cars available at our locations.

    Please note that any parking rights must be purchased separately.

  • There is currently no printing facility available in our destinations. If you don't want to buy your own printer, we recommend checking out printing services in your area, such as Mister Easy Business, Print & Refill or HBC Service.

    The exception is Boffice Central Railway Station, where a printer can be found in the co-working space next to the main kitchen. The printer is free for use by tenants and only works over a wired connection for security reasons. The paper and ink quantity is sized for normal office use and is not suitable for production use. If you run out of ink or paper, you can find more in the cupboard below.

  • In the kitchen area you will find small recycling bins/shelves for mixed waste, organic waste, cardboard, plastic packaging, glass, metal, bottles and cans. Premature overfilling of bins should be prevented by flattening cardboard packaging in particular.

    Larger cardboard packaging and other waste that does not fit in the recycling bins should be taken directly to the waste collection point of the location. The location and access details of the waste collection point can be found here.

  • Basic wireless internet access is available in the office common areas and rooms for Boffice tenants and their visitors.

    In Boffice locations with more than one floor, the network name is followed by Floor [floor number] to distinguish the individual networks of the floors. The password is the same Bonet99?

    Wireless networks may experience speed variations from day to day. The network connection is rated for basic use only. A fixed network connection is not provided by Boffice. For more extensive use, we recommend subscribing to a dedicated network connection.

    For security reasons, the Boffice shared wireless network has Client Device Isolation, which means that it is unfortunately not possible to connect your own wireless printer or speakers to the Boffice network. However, by purchasing your own network you can enable these devices.

    Getting to your own internet connection

    If you decide to subscribe to your own connection, please check with your operator that the connection works at the office address and at your property. When your operator gives you the installation date and time, please send Boffice the following information:
    - name of the operator
    - name & phone number of the installer
    - installation date and time
    - which data socket (number/ID) you want the connection to be connected to via the indoor network. Data sockets are usually located either on the floor of the room or in a cable box near the sockets.

    Send the information via the Messages function in MyOffice. If you want to share the same network connection between several rooms, please also let us know how you want the data connections between the rooms to be connected. By default, all Boffice office rooms have at least one data socket with two RJ-45 connections.

    A Boffice employee will book a service call to the site to open the technical room of the building to the operator's installer and connect the floor cross-connection cabinet or room to the office room or rooms.

    By default, the terminal equipment provided by the operator is placed in or near the cross-connection cabinet. It is recommended that any firewall equipment, switches, base stations and other network equipment be located in the office room if possible. Tenants do not have access to the cross-connection cabinet or room.

  • Tenants have access to a shared kitchen. In order to ensure comfort, tenants are expected to take particular care to keep the kitchen facilities tidy. This includes wiping their own crumbs and marks with a cloth after meals, if necessary.

    The shared containers are free to use. No personal crockery is kept in the kitchen. Filling and emptying the dishwasher is the responsibility of the kitchen users, so please do not leave dirty dishes on the counter or in the sink. It is best to start the dishwasher when it is full and at the end of the working day on Fridays.

    You can also store your own food or personal snacks in the kitchen cupboards and fridge. To avoid confusion, food should be labelled with your own name/company name. There are separate shelves/drawer units in the kitchen for common food items. In principle, all other food is the tenants' own and must be labelled. Expired food should not be left in the kitchen area and should be disposed of immediately.

    In Boffice locations that also have co-working spaces, coffee and tea are available for all tenants to heat up themselves. Stocks are replenished monthly, according to anticipated demand.

    You should not store your own coffee machines or other small appliances in the common areas.

  • Boffice office rooms are rented unfurnished. For a monthly fee, you can rent office furniture at a low price. Find out more about the service in the Additional services section.

    Furniture in public areas, meeting rooms or model rooms may not be moved or borrowed without permission.

    You may not store your own furniture or other equipment anywhere other than in your own office room.

  • Depending on the size of the building, the offices have 1-4 meeting rooms, free of charge for tenants. All meeting rooms are equipped with online time reservation. The duration of a single booking is 60 minutes, but if you need to use the room for a longer period you can make up to 4 consecutive bookings for the same day. Your rental contract includes 30 hours of meeting room usage per month. If the monthly quota is exceeded or you need the meeting room for a single longer event, please contact the Boffice team first by sending a message.

    The reservation will lapse if the booker does not arrive within 15 minutes of the start time of the reservation and the room is freely available to others. To avoid interruptions, it is advisable to check the booking status every time you arrive in the room. You must leave the room at the beginning of the pre-booking of the other party.

    Please remember to cancel your reservation if you don't need the space.

    When you leave the meeting rooms, be kind and clean up the meeting room, put the chairs back, wipe the whiteboard and leave the door open so that other users of the room know it is free.

    If there is a separate telephone room, please remember to move the sign next to the door to the free position after use.

    Typical equipment in a meeting room includes 4-10 chairs, a conference table, a nail stand, a whiteboard and a TV with HDMI adapters to suit the size of the room. Video cameras or other meeting systems are not standard in boardrooms.

  • Boffice's cleaning partner is responsible for the regular cleaning of public areas and emptying of waste bins. However, tenants must exercise general diligence and clean up after themselves in all common areas. There is no cleaner on the premises every day. It is also the kitchen users' responsibility to load and empty the dishwasher, so please do not leave dirty dishes on the sink or counter. It is best to start the dishwasher when it is full and on Fridays at the end of the working day.

    Cleaning is the responsibility of the tenants. Boffice offers the possibility to use the office's shared cleaning equipment, which can be found in the supplies cupboard on the office floor.

    Room cleaning can be purchased as an extra service. Order through Additional Services. A more detailed description and content of the cleaning service is indicated on the order form.

  • Moves between Boffice locations or within the same location are possible. A new office space is always subject to a new contract and the previous contract is terminated.

    At the same time, the amount of the rental guarantee will be updated to reflect the new room. Any necessary additional security deposit transfers must be made before the start of the new tenancy. Any deposit refunds will be made no later than 2 weeks after the start of the new tenancy.

  • We warmly welcome pets in our offices, provided they do not cause problems for other office users.

    Please note that your pet must behave calmly without causing disturbance or problems for others. Please also note that some people may be allergic to animals. Pets should be kept in their own office room and unfortunately are not allowed in public areas. If someone working in the office reports that a pet is interfering with their work in the office, they will no longer be allowed to come into the office.

    If you are severely allergic or if the presence of a pet in the office is disruptive, please inform the pet owner.

  • In case of problems, you can always contact the Boffice team by sending a message. In acute situations, you can get help by calling customer service 029 002 2220. If we do not answer immediately, we will call you back as soon as possible.

    In case of disorder or threatening situations, please call 112 with a low threshold.

  • The public areas and office rooms in our offices have basic soundproofing. So please be aware that there may be occasional unintentional noise from public areas into the offices.

    However, in order to respect and take into account the possibility for all our tenants to work in peace and quiet in the best possible way, sales and negotiation meetings, as well as other recurring events that differ from the general volume, should in principle take place either in the meeting rooms or, alternatively, in your own office.

    In public spaces, the normal sounds of life, such as conversation and movement, and individual short gatherings are of course allowed. After all, public spaces are also a great place for networking!

  • Thermal comfort depends on room temperature, air movement, clothing and the level of physical activity. According to the recommendations used by the Finnish Institute of Occupational Health, the target office temperature for light sedentary work is 21-25°C. In hot weather, by making use of blinds or curtains, and in winter by ensuring that radiators are working properly and windows are tight, you can ensure the most comfortable indoor temperature all year round.

    If your office temperature deviates from the recommended thermometer reading for more than a week, you can contact Boffice and we will see what can be done about it.

  • The general emergency number is 112 in case of an emergency. A comprehensive emergency plan for the building can be found in the kitchen. The plan lists all the contact persons in the building in case of problems (e.g. power cuts, pipe leaks and other unexpected situations).

    A fire blanket and first aid kit can be found in the kitchen. You can check the location of the nearest general defibrillator (heart monitor) at defi.fi

  • By default, all Boffice leases have a two-month notice period. If you wish to terminate your lease, please let us know by sending us a message via MyOffice under the category " Tenancy". Once we have received your notice of termination, we will contact you regarding the handover of the office room, the return of the rental deposit and the handover of the keys and room.
