How to choose the right office size

Choosing the right size office is influenced by many factors. The decision will be influenced by at least how large a team will be using the space, what kind of furniture you want in the room, whether your team is growing and what kind of vibe you want the space to have.

Starting by identifying basic needs

You should start planning by recording at least the following basic information about your needs:

- Average number of users in the office space over the next 6-12 months
- Will 80 cm wide smaller workstations be enough, or will larger desks be needed?
- Will the space be used to receive clients or partners?
- Will there be more storage space than one cupboard and a nail cabinet?
- Do you want furniture suitable for meetings?
- Do you want a whiteboard, a larger screen or a flipchart?

Once the basic needs have been determined, you can start calculating what the space requirements are for your needs.

Space requirements for furniture

Research shows that the minimum amount of working space per employee should be 6-7m² per employee. This minimum includes the workstation, storage space and space taken up by the door. Many office hotel operators have shared kitchens, meeting rooms and telephone rooms on site, so these do not usually need to be counted towards the floor space requirements of a private room.

If you want a more comfortable office, you should allocate more space. Below are examples of how much space is required for common office furniture.

Furniture Space requirement
Workstation 2,5m²
Phone booth 2m²
Storage space (shelf/cabinet) 1m²
Conference table for four 5,5m²
Sofa set (sofa, armchair & TV) 4m²

According to research, the amount of working space per employee should be minimal
6-7m²/employee.

Furniture placement has a big impact

Even in a small space, you can fit surprisingly much in, if you place the furniture smartly and keep the desks to a moderate size. Below is an example of a 10 m² office room with an 80 cm wide electric desk and various other pieces of furniture.

Artificial intelligence helps with interior design

Artificial intelligence can be used effectively to decorate an empty office space, for example to sketch ideas, design a space and compare interior design styles. You can use AI by asking it for interior design ideas for different uses (e.g. an office for a lawyer, a brainstorming room for a small team, or a combination of storage and office), or by asking for visual models based on a specific theme. The AI can also suggest furniture placement, lighting solutions or colour palettes that match the dimensions and purpose of the room, and create model layouts for a given image (ChatGPT).
Good examples of prompts include:

  • "Design the interior of a 10 m² office room to create a quiet workspace for one person."

  • "Suggest three different interior styles for a modern 15 m² office for four people."

  • "Create an interior design idea for an office room that can be used for small team meetings as well as relaxed breaks."

Tailor the size of your space to your needs

We know that things happen in the business world. Sometimes you grow quickly and sometimes unexpected situations force you to adapt your business to the economic situation. The size of the office room should be chosen with a 6-12 month time horizon in mind. This not only avoids paying for an unnecessarily large office, but also avoids time-consuming moves within a short period of time.

Boffice makes it easy to change rooms to larger or smaller ones or to move the office completely to another Boffice location. At Boffice, it is easy to change rooms to a larger or smaller one within a month's notice and to a smaller one within two months under contract.
